CPA Membership — Frequently Asked Questions
We built our CPA membership to be clear, disciplined, and predictable. Below are answers to the most common questions about scope, pricing, delivery, and how we work together.
Membership Basics
What is the CPA membership?
A CPA-led, CAS-first membership that bundles monthly bookkeeping, CPA-prepared financials, and your business tax return under a single weekly fee. Advanced and Ultimate tiers add AP/AR support, payroll coordination, and recurring advisory so your financial system scales with your business.
Who is this for?
Owner-operators, S-Corps/LLCs, franchise and multi-entity operators, and professional firms who want clean books, timely financials, and a long-term CPA partner — not just once-a-year tax prep.
Do you serve clients outside Oklahoma/California?
Yes. We operate virtually and serve clients nationwide. Multi-entity and multi-state structures are supported and scoped into your membership based on complexity.
How does the membership year work?
Rolling start: Your membership begins the day you sign. Billing runs on a weekly cadence as part of a rolling 12-month commitment.
Included return: We include the business tax return for the entity (or entities) covered in your engagement for the tax year that ends during your membership period.
What if we join mid-year?
No need to wait. Your one-time Implementation & Cleanup fee covers books assessment, any needed cleanup, and workflow setup so we can plug you into a clean monthly close and reporting rhythm as quickly as possible.
Pricing & Billing
How am I billed?
Memberships are billed weekly via autopay as part of a rolling 12-month commitment. Your engagement letter clearly states your tier, weekly fee, and what’s included.
What are the membership prices?
Most members fall into one of three tiers:
- Core: from $137/week
- Advanced: from $217/week
- Ultimate: from $497/week
Final pricing depends on entity structure, transaction volume, AP/AR complexity, and advisory scope. We’ll confirm your tier and fee during the discovery process before onboarding.
Is there a setup or cleanup fee?
Yes. We charge a one-time Implementation & Cleanup fee to get your systems and books ready for a disciplined monthly close. This fee is typically calculated as:
Implementation Fee = Weekly Membership × 8
That mirrors roughly two months of service and scales with your chosen tier (Core, Advanced, or Ultimate). The final amount also reflects data condition, number of entities, and workflow complexity.
Do you require a commitment?
Yes. Business memberships begin with a 12-month commitment so we can implement systems across a full tax cycle. After that, memberships continue week-to-week with a 30-day written notice to cancel.
Do you have an annual renewal?
Yes — we review scope, pricing, and results annually around your anniversary. If your complexity has grown or simplified, we may recommend a tier adjustment. Any changes are communicated and agreed before the new term begins.
Delivery & Support
When do I receive monthly reports?
We target delivery of monthly financials by the 25th of the following month, assuming client data arrives by the 7th. If information is late, we issue preliminaries and finalize once everything is received.
What are your response-time SLAs?
Core:
response within 72 business hours
Advanced:
response within 48 business hours
Ultimate:
response within 12 business hours (live slot typically within 24 hours)
“Quick Q&A” items (under ~10 minutes) are handled under your SLA; larger requests are scheduled as CPA meetings.
How do we communicate and share documents?
All documents and requests flow through our secure client portal. We use scheduled calls or Zoom meetings for planning, quarterly reviews, and deeper discussions. For security, we ask that you avoid sending sensitive information by email or text.
How long do payroll setup and IRS POA/transcript monitoring take?
For Advanced and Ultimate members who include payroll coordination and IRS notice support in their scope, payroll setup typically begins during Implementation. IRS Power of Attorney is submitted promptly, and transcript monitoring starts once the IRS has processed our authorization.
Scope & Services
Is payroll included? Do you handle multi-state?
Core excludes payroll. Advanced includes payroll coordination through iSolved/Payroll Vault, and Ultimate can incorporate more comprehensive payroll and labor-cost reporting by scope.
Multi-state accounting, payroll, and sales/use tax support are available and scoped into your engagement where needed.
Do you support multiple entities and consolidation?
Yes. We routinely support multi-entity structures and consolidated reporting. Core typically covers one operating entity; additional entities and consolidation are scoped and priced based on complexity and volume.
What if my books are behind?
The Implementation & Cleanup fee is designed to cover typical catch-up work. If you have extensive backlog or need reconstruction, we’ll quote a specific cleanup scope up front so you know exactly what’s involved before we proceed.
Do you offer one-off projects or à la carte services?
We prioritize our membership clients. Select projects (e.g., special analyses, system changes, or advisory engagements) are available at fixed fees when they align with your membership roadmap.
How do upgrades/downgrades work?
If your needs change, we can adjust your tier. Upgrades can take effect quickly; downgrades generally occur at the start of the next billing period. If usage consistently exceeds your current tier’s assumptions, we’ll recommend re-tiering to keep delivery predictable and fair for both sides.
Do you limit new clients?
Yes — capacity-based intake: We intentionally cap new memberships each month to preserve direct CPA oversight and maintain our SLAs. If a tier is full, we’ll offer the next available start date or a priority waitlist spot.
Assurance
What assurance do I have about the quality of your work?
We stand behind the accuracy of our work. If we make a preparation or posting error in the books or in a business return we file, we will correct it at no additional charge. We do not guarantee specific tax outcomes, refunds, or audit results — but we do commit to professional standards, transparency, and prompt correction of our mistakes.
